Your Questions Answered: Incident Management in CleverCAD

As part of our ConnectED webcast series, we recently hosted a session focused on Incident Management in CleverCAD. The presentation covered new features, real-world workflows, and future enhancements—but the real value came during the Q&A session, where transit professionals asked insightful questions about functionality, compatibility, and customization. 

We’ve compiled and expanded on those questions here to create a comprehensive guide to CleverCAD’s Incident Management capabilities. Whether you're a dispatcher, supervisor, or IT administrator, this resource is designed to help you understand how the system works and how it can be tailored to your agency’s needs. 

1. Intersection Diagrams: Functionality and Use Cases

Q: Can you draw intersection diagrams on an iPad? 
Yes. CleverCAD supports intersection diagrams on both Android and iOS tablets. Minimum supported versions: 

  • Android: v10.14+ 
  • iOS: v10.21+ 
  • Intersection Diagram feature: v10.16+ 

Q: Are diagrams limited to intersections? 
Not at all. The tool utilizes a familiar map interface, enabling users to diagram any location, including rail crossings, parking lots, terminals, and depots. 

Q: Can diagrams be exported separately? 
Currently, diagrams are included in printed incident reports, but cannot be exported as standalone image files. This enhancement is under consideration. 

2. Media Attachments and File Support

Q: Can supervisors attach photos or videos to incidents? 
Yes. Supervisors can capture and upload images directly from mobile devices. Supported formats include JPG, PNG, and others (excluding Apple’s HEIC format). 

Q: What is the maximum file size for uploads? 
32 MB per file. 

3. Customization and Workflow Flexibility

Q: Can we customize incident types and workflows? 
Absolutely. Incident types and workflows are fully customizable. You can assign multiple incident types to a single workflow or create distinct workflows for HR, maintenance, customer complaints, etc. 

Q: Can we replicate our paper forms digitally? 
Yes. Incident Management allows for one-to-one replication of paper forms, including custom fields and sections. 

Q: Can we set different permissions for individuals vs. groups? 
Permissions are managed at the group level. Individual-level customization is not currently supported. 

Q: Is there data validation for user-entered fields? 
Standard fields are validated against CAD/AVL data. Custom field validation would require additional development. 

4. Reporting and Search Capabilities

Q: Can we search incident data using custom fields? 
Yes. Custom fields are included in views and can be accessed via CleverReports for filtering and analysis. 

Q: Will photos show up in CleverReports once an incident is closed? 
Currently, media is stored with the incident, but integration with CleverReports is not currently supported. This may be considered as an enhancement in the future

5. Automation and Notifications

Q: What parts of Incident Management are automated? 

  • Incidents can be auto-created from calls or disruption management actions. 
  • CAD/AVL data is auto-populated into incident forms. 
  • Incidents can be auto-closed after a defined time threshold. 

Q: Are notification templates replacing default emails? 
Not replacing, enhancing. You can now customize notifications with relevant fields and formats. If no template is defined, the default notification will still be used. 

6. Additional Questions

Q: Is Incident Management compatible with Rail operations? 
Yes. While not rail-specific, the system is flexible enough to support rail incident documentation. Intersection Diagrams are not just limited to known intersections and can be created anywhere on the map, including at rail crossings or in depots.

Q: Will spell check be added to the remarks section? 
Spell check is supported natively in most browsers and operating systems. If it’s not working, a plugin may be needed.

Q: Can road supervisors suggest detours to scheduling? 
Not currently. This would require enhancements to CADMobile to support detour creation.
